Address Book

Use this window to manage addresses commonly used by the current department for forwarding messages to non-Response users.  To display this window, click the Address Book entry under the appropriate department in Content Administration.

The window may have two panes:

Address Book pane

The Address Book lists frequently used e-mail addresses. For example, you can use it to list addresses of subject experts to whom you might want to forward a message or with whom you might want to collaborate on a response. You can click the header of each column to change the sorting order.

First Name

Displays the person's first name.

Last Name

Displays the person's last name.

Nickname

Displays the alternate name for the person.  Users can enter the nickname in the To field of an outgoing message.

E-Mail Address

Displays the e-mail address that will be used if you use the address book entry to send a message.

Department

Displays the Response department that the person belongs to.

Organization

Displays the organization that the person works for.

Last Modified By

Displays the name of the user who last modified this address book record.

Last Modified Time

Displays the time that the address book record was last updated.

Address Book Entry pane

Use the Address Book Entry pane to add and edit address book entries.  Click the Create a new entry icon to create a new entry.  The only information in this pane that is related to information in the KANA Response system is the Department.  

First name

Indicates the person's first name.  

Last name

Indicates the person's last name.

Full name

Indicates the person's full name.   This is the name that appears in the user's address book.

Department

Indicates the KANA Response department to which this address book entry belongs.

E-mail address

Indicates the e-mail address that will be used if you use the address book entry to send a message.

Nickname

Indicates an alternate name for this person that a user can enter into the To field of outgoing messages.  Nicknames appear in lower case.  If you enter a nickname in upper case or mixed case, KANA Response converts the nickname to lower case.

Title

Indicates the person's title within the organization.

Organization

Indicates the name of the organization to which the person belongs.

Mailbox Group

Indicates the name of the mailbox group to which an e-mail address is assigned.
